Understand parcel dimensions, volumetric weight and surcharges

A light, large parcel can be billed differently from a compact parcel. The selected service’s rules determine the calculation.

Connect quote and invoice through the shipment

Record the shipment reference, service, destination country and dispatch date for each invoice line. Attach the quote with its validity period and agreed price basis. List multiple pieces separately so a shipment is not confused with one parcel.

Document measurements and the billing basis

Save your external measurements and weight with the measurement date and packaging version. If the invoice uses different values, record them separately and request supporting evidence. The divisor, rounding and units come from the selected service quote.

Review surcharges individually

Separate the base charge and each surcharge into individual lines. Record amount, currency, description and the agreed basis for each line. Track unresolved differences with an owner, evidence and review date; an unclear amount is not confirmed savings.

Plan step by step

  1. Weigh and measure the packed parcel, including packaging. Record external length, width and height alongside product group and destination.
  2. DHL Express describes billing using the higher of actual and volumetric weight. Confirm the divisor, rounding and billing unit for the specific service; do not apply this rule to every parcel service.
  3. Check possible oversize, overweight or non-conveyable piece surcharges separately. Assess packaging changes against product protection and total shipping cost.
  4. Review sample parcels, destination regions and expected monthly volumes before launch. Record the offered route, price validity and return costs in the quote.
