Confirm identity, completeness and condition; release stock for sale only after approval.
Record missing packaging, labels or accessories. Agree possible reworking and costs before proceeding.
Document damage and discrepancies. Hold the item until return-to-sender or another permitted disposition is agreed.
Before launch, agree how each return is linked to an order and item. References, inspection criteria and approvals connect parcel receipt, inspection and further handling. Record observed condition, reported reason and client decisions separately.
Example: packaging is damaged but the product works. Record both conditions separately before deciding whether it can be resold.
Prepare for this step →A return received at the warehouse confirms physical arrival. It does not confirm the expected SKU, suitability for resale or a refund. Match the return reference, expected products and quantities actually received. Record packaging condition separately from product condition. Agree beforehand which function tests are in scope and which evidence supports the decision. The financial refund remains a separate decision for the responsible seller or sales channel.
Provide product mapping, return reason, inspection criteria, photo requirements and the person authorized to approve action. Missing accessories or a different SKU should be recorded as unresolved rather than automatically restocked. For restocking, reworking, reshipping or disposal, record the approved quantity and decision. Update stock available for sale only after the agreed release, and keep the warehouse status distinct from the sales portal status.
For a partial return, record only the items and quantities actually received. Link the inspection record to the original order and return reference. A decision for one item does not automatically cover other parcels from the same order; keep missing quantities and outstanding decisions open separately.
These details help us discuss the right warehouse, workflow and shipping requirements.
