Define the inspection brief first
Visual inspection, completeness checks and functional tests have different requirements. Define criteria, accessory lists and permitted interventions per SKU. Commission photos or video with an agreed scope, reference and storage location.
Separate observations from approvals
The inspection report records the observed condition. Restocking, repacking or further handling decisions receive a separate owner and timestamp. Goods awaiting a decision remain marked unavailable.
Plan step by step
- Record order reference, item, quantity and accessories at receipt.
- Document condition and agreed functional checks; handle damaged goods separately.
- Obtain approval for resale, repair or other handling; agree refunds separately.
- Link the return reference, order line and parcel identifier. Keep the stated return reason, observed condition and approved action in separate fields, with inspection date and decision owner.
Compare your options
On small screens, scroll horizontally to read every column.
| Observation | Clarify before deciding | Possible next step |
|---|---|---|
| Unused and complete | Confirm SKU, quantity, packaging and agreed inspection criteria. | Restock after approval and update available inventory. |
| Packaging damaged, item appears intact | Record item and packaging condition separately; agree repacking and sales channel. | Repack or reclassify once effort and approval are agreed. |
| Accessories missing or function unclear | Record missing parts and the agreed test scope. Visual inspection alone does not confirm function. | Block pending a decision; approve replacement parts or further testing separately. |
| Damage, wrong item or unclear order reference | Document photos, identification and discrepancy; segregate the goods. | Await the client’s decision. Do not release automatically for resale. |
This table is a planning aid, not a universal grading standard. Agree checks, deadlines, costs and decision ownership for each product profile. Refunds and stock release are separate decisions.
Agree these points before the first return arrives
- Which checks are included in the base price, and which extra checks need approval?
- Who approves restocking, repacking and blocked goods?
- Which records does the team receive, and how are unresolved cases escalated?
