One register for all open goods flows
Alongside open customer orders, include outstanding FBA removals, transfers and expected returns in the handover. Give each reference an origin, destination, expected quantity, current status and owner. A dispatch date does not confirm warehouse receipt.
Agree how to handle later arrivals at the old address
Record shipments already in transit and returns that may still reach the old address. Agree receipt, notification, forwarding, billing basis and an end date with both warehouses. Document address changes in the shop and systems separately.
Close the handover with supporting records
At the closing date, bring together the final stock export, transfer counts and open cases. Record the decision, evidence and responsibility for each difference. Reconcile outstanding charges separately: completing goods movements and agreeing invoice amounts require separate approvals.
Plan step by step
- Define which system owns available inventory for each SKU and sales channel. Reconcile saleable quantities, reservations and blocked stock separately.
- Export open orders at cutover and assign the dispatch warehouse for each order. Test duplicate references, cancellations and address changes.
- Reconcile the first delivery against the packing list, quantities and discrepancy report. Release stock for sale after the count is confirmed.
- Document old and new return addresses, tracking updates and exception owners. Agree a small pilot and approval before switching the full volume.
- Log stock movements with timestamps during handover. Before correcting an export-to-count discrepancy, reconcile dispatches, receipts and reservations; send back only an approved adjustment.
Compare your options
On small screens, scroll horizontally to read every column.
| Situation | Check | Approval |
|---|---|---|
| Open order | Reference, status and assigned dispatch warehouse | One warehouse dispatches; the other blocks processing. |
| Goods in transit | Transfer reference, dispatched quantity and receipt record | Prevent double availability at both locations. |
| Count discrepancy | SKU, count time and intervening movements | Record the discrepancy, owner and decision. |
| Return to the old address | Order reference, condition and forwarding route | Assign receipt and subsequent handling explicitly. |
The table and CSV are planning aids. Confirm your systems’ status mapping and approval before switching volume. The CSV is a blank recording template and does not calculate inventory.
