What we plan together
Connect delivery references, SKUs and recorded quantities. Delivery, warehouse receipt, inspection and availability are separate statuses. Reconcile partial deliveries and discrepancies using the agreed records.
How the process works
- 1
Record incoming goods
- 2
Reconcile stock and reservations
- 3
Review discrepancies and adjustments

A decision in the workflow
Example: a return has arrived but has not been inspected. Record receipt separately from release for resale.
Prepare for this step →Compare stock with the same meaning
Physically present stock is not automatically available for sale. Reserved units belong to open orders; blocked units may await inspection or release. Agree the meaning of each status and the time of the stock extract. Then compare the same SKU and warehouse location in the store, ERP and warehouse management system. Different extract times can explain an apparent discrepancy without goods being missing.
Resolve differences with supporting records
Provide the SKU, barcode mapping, location, quantities and timestamps. Review inbound receipts, open orders, dispatched quantities and returns awaiting release separately. Record which event explains the difference and which quantities remain unresolved. Before adjusting stock, identify the responsible person and required approval; a discrepancy alone does not authorize a write-off.
Keep one reconciliation record
For each unresolved difference, keep one shared record of expected quantity, counted quantity, evidence and responsible person. During a warehouse handover, separate stock at the old location from stock at the new one. Close a case only when the agreed correction or explanation is recorded.

Which inventory data should we agree?
Stock keeping units (SKUs), barcodes, locations and the meaning of on-hand, reserved, blocked and available stock. Agree how discrepancies are reviewed and releases recorded.
Are delivered goods immediately available?
Delivery status confirms a transport step. Identification, counting, inspection and release for sale follow the agreed warehouse process; unidentified or unchecked goods are recorded separately.
